This guide explains how to connect a meeting platform to your Insytical scheduler, how meeting links are generated on bookings, and how to disconnect or remove the integration.

1. Overview

Insytical lets you publish a personal booking page where guests can schedule meetings during your available time slots. When you connect a meeting platform (Zoom, Microsoft Teams, or Google Meet), every confirmed booking on an event type that uses that platform automatically generates a real conference link in your provider account, attaches it to the booking, and emails it to the guest along with the confirmation.

You only have to connect each platform once. The connection persists until you disconnect it or revoke access from the provider's side.

2. Connecting Zoom

2.1 Adding the integration

  • Log in to Insytical and open Settings → Integrations (/user/integrations).
  • Scroll to the Meeting platforms section.
  • Click Connect on the Zoom card. A popup window will open Zoom's authorization screen.
  • Review the requested permissions and click Allow. Insytical only requests the scopes needed to create, read, update, and delete meetings on your behalf, plus your basic profile info to display "Connected as your-email@example.com" in the integrations page.
  • Once approved, the popup closes automatically and the Zoom card updates to Connected as {your Zoom email}.

2.2 Using the integration

  • Create or edit an event type under Scheduler → Event Types.
  • Set Location to Zoom.
  • Publish the event type and share your booking page link.
  • When a guest books a slot, Insytical creates the Zoom meeting in your account, saves the join URL on the booking, and includes it in the confirmation email and reminders sent to both you and the guest.
  • If the guest reschedules through the link in their confirmation email, the underlying Zoom meeting's start time is updated automatically. If they cancel, the Zoom meeting is deleted from your Upcoming Meetings list.

2.3 Removing the integration

You can disconnect Zoom in two ways:

  • From Insytical: open Settings → Integrations, find the Zoom card, and click Disconnect. Insytical will mark the connection revoked and stop creating Zoom meetings for future bookings. Existing bookings keep their links.
  • From Zoom: visit marketplace.zoom.us → Manage → Installed Apps, find Insytical, and click Uninstall. Zoom notifies Insytical via webhook and we mark the connection revoked automatically.

After disconnecting, event types whose location is set to Zoom will continue to accept bookings but will no longer generate Zoom links until you reconnect.

3. Connecting Microsoft Teams

3.1 Adding the integration

  • Open Settings → Integrations → Meeting platforms and click Connect on the Microsoft Teams card.
  • Sign in with your Microsoft work, school, or personal account and approve the requested permissions (read/write your Outlook calendar, create online meetings).
  • The card flips to Connected as {your email}.

3.2 Using the integration

  • Set an event type's location to Microsoft Teams.
  • When a booking is confirmed, Insytical creates an Outlook calendar event with a Teams meeting attached. The event appears on your Outlook calendar; the Teams join link is included in the booking confirmation email.

3.3 Removing the integration

  • From Insytical: click Disconnect on the Teams card.
  • From Microsoft: visit myapps.microsoft.com and revoke access to Insytical.

4. Connecting Google Meet

4.1 Adding the integration

  • Open Settings → Integrations → Meeting platforms and click Connect on the Google Meet card.
  • Sign in with your Google account and approve the Google Calendar scope.
  • The card flips to Connected as {your email}.

4.2 Using the integration

  • Set an event type's location to Google Meet.
  • On booking, Insytical creates a Google Calendar event on your primary calendar with an auto-generated Meet link. The link is included in the booking confirmation email.

4.3 Removing the integration

5. Data Insytical accesses

For all three meeting integrations, Insytical accesses only what it needs to create and manage meetings tied to your bookings:

  • Account identifier and email — read once on connect, used to label the connection in the integrations page.
  • Meeting create / read / update / delete — limited to meetings Insytical created on your behalf for confirmed bookings.
  • Webhook notifications — we receive notifications when a meeting we created is deleted or its time is changed on the provider's side, so the corresponding Insytical booking stays in sync.

OAuth refresh tokens are stored encrypted at rest using AES-256-GCM. See our Privacy Policy for full data handling details.

6. Troubleshooting

"Connect" popup is blocked

Allow popups for app.insytical.com in your browser, then click Connect again. If the popup is still blocked, Insytical falls back to a full-page redirect.

"Reconnect needed" badge appears

Your OAuth token was revoked (you uninstalled the app on the provider side, changed your password, or your refresh token expired). Click Reconnect on the affected card to re-authorize.

Booking confirmed but no link in the email

This usually means the host hasn't connected the matching provider yet, or the connection is revoked. The booking is still valid — the host can either connect the provider and resend the email, or share a meeting link manually.
